POSITION PURPOSE:

The Corporate Travel Coordinator is responsible for managing all aspects of business travel for employees, ensuring cost-effective, efficient, and compliant arrangements. This role coordinates air travel, accommodations, ground transportation, and travel documentation, serving as the primary administrator of the organization's travel platform. The objective is to deliver a seamless travel experience while adhering to company policies and supporting business objectives.

ESSENTIAL FUNCTIONS AND BASIC DUTIES:

  1. Book all Commercial and Corporate Air Travel: Arrange domestic and international flights, ensuring optimal schedules and competitive pricing in line with company policies. Act as liaison between executives, pilots, and administrative staff; maintain the corporate travel schedule and required approvals.
  1. Manage and Reserve Hotel Stays: Secure accommodations for travelers, including sourcing and booking suitable hotels that meet safety, budget, and location requirements.
  1. Manage relationships with travel management companies, airlines, hotels, and rental providers; negotiate corporate rates; monitor vendor performance.
  1. Find and Reserve Long-Term Stays: Identify, negotiate, and arrange extended-stay housing for employees on long-term assignments or projects.
  1. Arrange Rental Cars and Train Travel: Coordinate car rentals and train reservations to provide flexible and convenient ground transportation options.
  1. Assist with Visa and Passport Administration: Support employees with visa and passport applications, renewals, and related travel documentation to ensure compliance with international travel regulations.
  1. Serve as Travel Platform Administrator: Oversee the corporate travel platform, manage user accounts, troubleshoot issues, and provide training and support to travelers.
  1. Monitor travel spend; identify cost-saving opportunities; prepare travel reporting; support budgeting and forecasting.
  1. Code, reconcile and validate expense reports and Pcards for travel expenses. Approve invoices in paperless filing system.
  1. Other duties as assigned.

Education/ Certification:

Bachelor’s degree in Business Administration, Hospitality, or a related field, or equivalent professional experience.

Required Knowledge & Experience:

  • Minimum of two years’ experience in corporate travel coordination, travel agency, or a similar administrative role.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Proficient in travel management platforms, online booking tools, and Microsoft Office Suite.
  • Excellent communication and customer service skills.
  • Knowledge of visa and passport requirements for international travel.
  • Knowledge of general office equipment required

Must possess current driver’s license with no restrictions.
